STAGE 01

Setup

Ten minutes from landing page to working account. The architecture choice that shapes everything downstream.

  • ·Operator creates the tenant, picks the operating language and currency, adds the first user accounts.
  • ·Schools running their own fleet skip the tenant complexity - single-school mode is the default.
  • ·Vehicles, drivers, and depots get added through bulk CSV import or manual entry. The verified school library handles addresses, bell times, and term calendars for you.

STAGE 02

Schools & enrolment

Bell times vary by class. Extracurriculars vary by child. Trayvar captures both at enrolment, not later.

  • ·Attach schools from a verified library that knows bell times, gate coordinates, and term calendars. Or configure a single school directly.
  • ·Enrol children via CSV bulk import, WhatsApp self-enrolment for parents, or manual entry.
  • ·Each child carries a full record - school, class, home pin, PM close time per day of the week, and extracurricular location. The platform routes each child correctly on each day automatically.

STAGE 03

Hub clustering & route generation

The optimiser groups nearby children into pickup hubs, then generates routes overnight against real operational constraints.

  • ·Hub clustering compresses 300 home pickup points into 60-70 walkable hubs, each within 200m of the homes it serves.
  • ·Dedicated runs serve one school. Shared runs collect children for multiple schools in one vehicle - the operator chooses per run.
  • ·AM is optimised as one run per school. PM splits into runs by departure window: Kindergarten 12:30, Primary 14:30, Secondary 15:30, plus extracurricular slots. Boarding time, vehicle capacity, and end-of-day parking all factor into the solve.

STAGE 04

Daily operations

Drivers tap children in with NFC cards on Android. Parents get WhatsApp updates. Operators monitor live.

  • ·The NFC-enabled driver app holds the route offline. Each child taps an NFC card to board; pickup is GPS-verified. Panic button included. Built for 2G and unreliable connectivity.
  • ·Parent WhatsApp messages confirm pickup, surface ETA, and signal arrival - automatically. No app for parents to install; the channel they already use is the channel Trayvar uses.
  • ·Operators see live status, delays, and incidents on one screen. Service disruptions get handled in real time, not after parents complain.

STAGE 05

Reporting

Two views, one data spine. School-board view for renewal conversations. Operator commercial view for margin analysis.

  • ·School-board view: on-time arrival, cost per child, complaints, safety incidents, vehicle utilisation. The data that justifies the contract.
  • ·Operator commercial view: margin per route, fuel per vehicle, driver productivity. Exports directly to MarginCOS for the deeper commercial diagnostics.
